Pindrop: an internal lead research tool built and used by Luminous.

A CRM works when every record has an owner, a stage and a next action. Most CRM problems are setup problems: fields nobody fills in, stages that mean different things to different people, and follow-up that keeps running after the customer has booked.

Luminous sets up CRM pipelines, fields, forms, calendars and follow-up, including in GoHighLevel, and connects them to the places your inquiries come from. For AI-assisted qualification and routing across channels, see AI revenue systems. This page covers the CRM underneath.

What we set up

The parts of a CRM that decide whether it gets used
CRM partWhat we configure
Pipeline stagesA short set of stages with written definitions, so a deal marked "Quoted" means the same thing to everyone.
FieldsOnly the fields someone uses, with required fields where a missing value breaks the next step.
Forms and calendarsWebsite forms and booking calendars that create or update the right record, with the source recorded.
DuplicatesMatching rules for email and phone, and a visible queue for records the rules cannot merge.
Follow-upEmail and SMS sequences with stop rules: a booking, a reply or a staff takeover ends the sequence.
OwnershipAssignment rules and permissions, so each record has one person responsible for the next action.

When GoHighLevel fits

GoHighLevel suits service businesses that want forms, calendars, pipelines, messaging and follow-up in one account. It fits less well with complex sales processes that involve many products or approval steps, where HubSpot or a sector-specific CRM may be the better choice. We assess your process and existing tools before recommending a platform, and configure the one you already use where it can do the job.

Moving from spreadsheets or another CRM

  1. Map the fields. Match each column or old field to its new home, and decide what to leave behind.
  2. Clean and merge. Remove duplicates and fix formats before import, not after.
  3. Test the import. Import a sample, check it with your team, then import the rest.
  4. Switch over. Pick a cutover date, point forms and calendars at the new system and retire the old one.

Know where customers come from

Record the source of every inquiry: the campaign, the search, the referral or the page. With stage changes recorded in the CRM, you can see which sources produce customers, not only inquiries. That data can also be sent back to Google Ads campaigns, so they learn from qualified leads rather than raw form submissions.

How an engagement runs

  1. Review the current setup. Look at how inquiries arrive, how the team works them and where records go stale.
  2. Agree the design. Stages, fields, automations, permissions and reports, written down before configuration starts.
  3. Configure and connect. Build the pipeline and automations, and connect forms, calendars and other tools.
  4. Test with real scenarios. Run typical inquiries, duplicates, cancellations and replies through the system with your team.
  5. Train and hand over. Short training for each role, written instructions and an agreed support arrangement.

If the process needs a tool the CRM cannot provide, see custom software development. For AI steps such as reading documents or drafting replies, see AI automation and workflow integration.

Questions about CRM setup

Which CRM should we use?

It depends on your sales process, the tools you already pay for and who will manage the system. We often recommend improving the current CRM before moving to a new one.

Can you fix our existing setup?

Yes. We audit the pipeline, fields, automations and integrations, then fix the parts that cause lost or stale records first.

Will our team be trained?

Yes. Each role gets short training on the tasks they do every day, plus written instructions they can return to.

What about consent for email and SMS?

Automated messages need the right consent, clear opt-outs and sending rules that follow the regulations where your customers live. We build consent tracking and opt-out handling into the sequences.

What does it cost?

The number of pipelines, integrations, automations and records to migrate set the cost. Platform subscriptions and messaging usage are separate, and we list them in the proposal.
