An AI receptionist answers your business phone when your team can't: at lunch, on a job site, after hours and when three calls arrive at once. Luminous sets up AI receptionists that answer in your business's own words, book appointments into your calendar, take messages with the details your team needs and pass the call to a person when it should go to one.

Each setup is built around your real calls rather than a generic script. We start with what callers ask, which calls you want booked, which must reach a person, and where your calendar and customer records live.

Our guide to AI phone answering systems covers the technical choices in more depth, and our overview of voice agents by industry shows where they fit.

What an AI receptionist handles

Common calls and what happens on each
The caller wantsWhat the AI receptionist does
To book or move an appointmentChecks your live calendar, offers real openings, books the slot and sends a confirmation text.
To ask about services, hours or areas you coverAnswers from information you approve, and says plainly when it does not know.
A quote or a callbackCollects the name, number, address and job details your team asks for, and creates the record in your CRM.
To speak to a personTransfers to the right number during the hours you set, or takes a message with a callback time you can keep.
Help with something urgentFollows your emergency rule: transfer straight away, alert whoever is on call, or give the instruction you have agreed.
Nothing, because they hung upSends a text back to missed and abandoned calls so the conversation can carry on by message.

After hours and overflow

Many businesses use an AI answering service only when the phones are busy or the office is closed. Calls ring your team first, and if nobody picks up within the rings you choose, the AI receptionist answers. After hours it can book next-day appointments, take detailed messages or send a genuine emergency to whoever is on call.

Your existing number stays the same. It forwards to the AI line for every call, after a set number of rings or only outside opening hours, so customers keep dialing the number on your van, your website and your Google Business Profile.

Where it fits best

  • Law firms: answers new-matter calls, takes intake details and books consultations, without giving legal advice. Conflict checks stay with the firm. See AI for law firms.
  • Med spas and clinics: books consultations and answers approved questions about treatments, never medical advice. See med spa booking automation.
  • Home services, HVAC and plumbing: captures the address and job type, books visits and routes emergencies. See our home services and HVAC pages.
  • Dental practices: handles new-patient calls and reschedules, with clinical questions passed to the team. See our dental practice page.

How we set it up

  1. Hear how calls go today. We review call notes or recordings, with your permission, and list the questions callers ask most.
  2. Write the call flow. Greeting, questions, booking rules, transfer rules, the emergency rule and how each call ends.
  3. Connect your tools. Calendar, CRM and phone number, so bookings and messages land where your team already works.
  4. Test hard cases. A caller who interrupts, a wrong number, an angry customer, a request outside your area and a caller who insists on a person.
  5. Start small. Launch on overflow or after hours, review transcripts with you each week, then widen what it handles.

Disclosure, recording and consent

The receptionist tells callers it is an AI assistant, and any caller can ask for a person. If calls are recorded or transcribed, the greeting says so. Some states require every party's consent to record a call, so we set the recording notice for the states your callers are in, and your business confirms it with its own advisers.

This service covers calls coming in to your business. We do not set up automated outbound calling campaigns.

AI receptionist or answering service?

A human answering service or virtual receptionist takes good messages, but usually cannot book into your calendar, update your CRM or answer detailed questions about your services at two in the morning. An AI receptionist can do all of that on every call at once. It is weaker with callers who are upset, confused or calling about something unusual, which is why the transfer rules matter. Some businesses use both: AI for routine calls and bookings, people for everything else.

What to measure

Calls answered, appointments booked, transfers and the reason for each, messages taken, calls the AI could not help with, and hang-ups during the greeting. In the first weeks we read transcripts with your team and change the call flow wherever callers get stuck.

Questions about AI receptionists

It depends on your call volume, how many calendars and systems it connects to, and how detailed the call flow is. The voice platform and phone line are separate usage costs, which we set out in the proposal. We do not publish package prices because each setup is scoped to the calls it has to handle.

Yes. The greeting says so, and anyone who prefers a person can ask for one at any point in the call.

Yes. Your current number forwards to the AI line for every call, after a set number of rings or only after hours. Customers keep dialing the number they already have.

Yes, when the calendar or booking system can be connected. It only offers times the calendar shows as free, and each booking appears in your system with the caller's details.

It says so, takes the caller's details and either transfers the call or promises a callback within the time you set. Every unanswered question goes on a list so the answer can be added.

It can be set up for healthcare, but only when every service that handles patient information, including the voice platform and the storage for recordings, signs a business associate agreement. We confirm that before any patient call goes through it.

Yes. Many businesses start with after-hours and overflow calls, then decide whether to let it answer first during the day.

English by default. Spanish and other languages are possible where the voice platform supports them, and we test each language with real call scenarios before launch.
